Watch the GST invoice generator, step by step
This 7 minute walkthrough builds a consultant invoice from scratch in the GST invoice generator: professional fees with SAC codes, mileage, reimbursements, CGST and SGST for a same-state client, IGST for an out-of-state one, and TDS down to the net payable. It also shows what changes for composition and unregistered sellers.
Why most invoice templates get GST wrong
The GST treatment depends on the supplier location, legally determined place of supply, registration category and transaction. The customer address alone may not settle the place of supply. A composition dealer issues a Bill of Supply and cannot collect GST; an unregistered supplier must not charge GST. Reimbursements are not automatically outside taxable value: any pure-agent exclusion must satisfy the applicable conditions. See the CGST Act and IGST Act.
Four invoice layouts and their fields
Pick the type that matches how you bill, and the fields and tax behaviour change to match it.
Standard
A simple bill with one flat tax rate. Good for a straightforward sale or service with a single applicable tax.
Consultant/Retainer
Use the Consultant/Retainer layout for professional fees, mileage and separately identified expenses. Review whether each reimbursement belongs in taxable value. The TDS field records a deduction; it does not decide whether withholding applies. Older labels such as 194J or 194C refer to the earlier Act. For Tax Year 2026-27 use the applicable entry under the current Act and our dated TDS guide.
Business (GST)
Enter an HSN or SAC code and rate for each relevant line. The Business (GST) mode calculates a split using the location fields. Verify that this matches the legally applicable place of supply; the form does not independently determine the correct classification, rate, export conditions or e-invoicing obligation.
Custom
The Custom layout supports named tax lines for a chosen billing format. An export can still require a GST Tax Invoice and the prescribed export endorsement. Choose the document type and wording from the transaction requirements, not merely the currency.
Check registration and composition settings
The composition setting is intended to suppress GST and label the output Bill of Supply. Check the downloaded document. Unregistered suppliers must not collect GST; leave tax at zero and use appropriate wording. A regular registration does not mean every supply has the same tax treatment.
Seven templates, eight themes, your branding
Every invoice type works with any template, so you are never stuck with one look.
- Clean, a modern service invoice with a bold balance-due chip.
- Indian GST, with GSTIN, HSN and a Bill To/Ship To layout built for Indian tax invoices.
- Export, for tax invoices that need an LUT reference and an RBI purpose code.
- Modern, with a bold accent header.
- Minimal, airy and unfilled for a quieter look.
- Letterhead, a classic, ruled, formal layout.
- Detailed, which surfaces every field, including bank details and terms, right on the page.
Pick from 8 curated colour and font themes, or set your own accent colour, choose Noto Sans or Noto Serif, and switch between a comfortable or compact layout. Add your logo and a signature image, so every invoice looks like it came from your business, not a template site.
Every field you can fill in
The editor supports the following types of information. Saved records, attachments, signatures and other account features can depend on the selected plan:
- Invoice details: invoice number, date, due date, payment terms, purchase order or other reference, and an “Attn:” line.
- Bill To and Ship To: full address, state and country from a complete list, customer GSTIN, and an optional separate shipping address.
- Line items: item name and description, HSN or SAC code, quantity, rate, and a per-line GST rate for Business (GST) invoices.
- Mileage and reimbursables: for Consultant/Retainer invoices, a mileage rate and reimbursable expenses billed at cost.
- Tax and totals: GST split by state on Business (GST) and Consultant/Retainer invoices, a single tax rate on Standard, or stacked taxes on Custom, plus TDS deduction with the applicable section, an advance or partial payment already received, and the balance due.
- Notes and signatory: payment notes, terms and conditions, and an authorised signatory name. To let clients pay by UPI, make a fixed-amount QR code with our UPI QR code generator and send it with the invoice.
- Supporting documents: attach expense PDFs or receipt images and they are merged straight into the downloaded PDF.
- Company profile: saved once and reused on every invoice, including your GSTIN, PAN, bank account, IFSC or SWIFT code, logo, invoice number sequence, currency and number and date formats.
Eight currencies are supported, including INR, USD, EUR and GBP, and the total is spelled out in words using Indian numbering (lakh and crore) for INR and international numbering for the rest.
Check the downloaded PDF
The PDF is generated as a real vector document, not a screenshot, so the text is sharp at any zoom level, and it is selectable and searchable. It uses fonts built for wide script support, so currency symbols such as the rupee sign render correctly, and a small technical fix prevents common letter pairs like “fi” or “fl” from being copied as a single broken character when someone pastes your invoice text elsewhere.
Our live demo check: ₹3,000 plus 18% tax
On 8 September 2026 we edited the public demo using fictional customer “ReconScribe Demo Customer”, invoice “DEMO-20260908” and one line, “Demo reconciliation service”: quantity 3, rate ₹1,000 and tax 18%.
| Check | Expected amount |
|---|---|
| Subtotal: 3 × ₹1,000 | ₹3,000 |
| Tax: ₹3,000 × 18% | ₹540 |
| Total | ₹3,540 |
The editor and downloaded PDF showed these values. No invoice was saved to an account. You can reproduce the example in the Invoice demo. It verifies this arithmetic and download path; it does not establish the legal rate for a real service.
How to create a GST invoice in ReconScribe
- Open the Invoice Generator and choose an invoice type: Standard, Consultant/Retainer, Business (GST) or Custom.
- Set up your company details once, including your GSTIN, PAN, bank details and logo. ReconScribe reuses them on every invoice after that.
- Fill in Bill To for your customer, and turn on Ship To if the delivery address is different.
- Add your line items: description, an HSN or SAC code where relevant, quantity and rate.
- Check Tax & totals. For Business (GST) and Consultant/Retainer invoices, CGST plus SGST or IGST follows the two states automatically; Standard uses a single tax rate and Custom takes any taxes you add.
- Add notes, terms and an authorised signatory, and attach any supporting documents.
- Switch to the Design tab and pick a template and a colour theme that matches your brand.
- Download the PDF. It is ready to email straight away, with a searchable, selectable layout.

GST invoice generator: FAQs
Is this GST invoice generator free?
The public demo lets you edit sample details and download a PDF without signing up. Account features and usage limits follow the current pricing page.
Does it handle CGST, SGST and IGST automatically?
The Business (GST) and Consultant/Retainer modes calculate a tax split from the location fields and selected rates. You must confirm that the result matches the applicable place-of-supply rules and registration category.
What happens if my business is under the GST composition scheme?
ReconScribe will not add any GST to the invoice and generates a Bill of Supply instead of a Tax Invoice, since a composition dealer cannot charge GST on its supplies.
Can I use it for consulting invoices with TDS?
The Consultant/Retainer layout includes fees, mileage, reimbursable items and a TDS deduction field. Confirm taxable value, withholding applicability and the legal reference for the income period before issuing it.
Can I try it without creating an account?
Yes. The live demo is fully interactive: edit any field, switch templates and themes, and download a real PDF, with no signup.
